Accentuate Staffing is currently recruiting for an Administrative Assistant to work onsite with an established commercial company, you will be responsible for coordinating various aspects of preconstruction projects. Your role will involve interacting with subcontractors, managing project documentation, and providing crucial administrative support to ensure smooth operations within the department.
Responsibilities:
- Serve as the primary liaison between departments within company.
- Distribute Invitations to Bid and project notices to subcontractors.
- Follow up with subcontractors to track bid status and ensure timely responses.
- Manage the receipt and distribution of plans and specifications from architects to subcontractors.
- Address subcontractor inquiries regarding project details, working with Preconstruction Managers and architects as needed to provide accurate answers.
- Prepare Clarifications and Addenda for subcontractors based on updates from architects.
- Collect and organize subcontractor bids.
- Follow up with subcontractors to gather any missing information for bids.
- Coordinate pre-bid and site visits with subcontractors.
- Prepare Bid Manuals for subcontractors to facilitate the bidding process.
- Create Pricing Books for the Preconstruction Manager and Operations Department.
- Develop deliverable books for project owners.
- Maintain and update the subcontractor database.
- Generate and update various reports using Excel.
- Provide general administrative support to the Preconstruction Department as required.
Requirements:
- High School diploma required; experience in project coordination is preferred.
- Familiarity with construction processes is advantageous.
- Strong organizational skills with keen attention to detail and the ability to meet deadlines in a fast-paced environment.
