Accentuate Staffing has an immediate Administrative Assistant opportunity onsite and direct hire with an established organization in downtown Raleigh. The Administrative assistant is responsible for office administration across various departments, greeting guests, answering phone calls during business hours, and responding to email and phone inquiries. This role will play an important part of maintaining day-to-day operations for the administrative office.

Responsibilities:

  • Provide first point of contact for office guests, directing inquiries to an appropriate team member or partner.
  • Regularly monitor the general voicemail and email accounts, forwarding requests to the appropriate staff and/or responding timely.
  • Maintain office supplies, equipment, and service accounts, such as water delivery, recycling, copier maintenance; coordinate office closures/holidays with the cleaning company.
  • Oversee the administrative office workroom, common space and storage spaces and ensure they remain well-organized.
  • Oversee the ongoing organization electronic document management. Convert existing hard-copy files to electronic format and catalog.
  • Manage the post office box, ensuring mail is picked-up regularly and distributed timely to the team; take out and bring in recycling bins.
  • Provide support for the donation software, including data entry and monthly reporting.
  • Assist with staff and Board of Directors registration for trainings/conferences.
  • Assist with planning staff outings and coordinating food vendors.
  • Provide Support for special projects, as needed.
  • Maintain a check log of all receipts/checks received.
  • Provide support to Accounts Payable process, including data entry in accounting system, check preparation and distribution, and file management
  • Prepare the quarterly property cash balance report based on information from the property management company.
  • Assist with other projects, as needed.

Requirements:

  • Bachelor’s degree or equivalent experience.
  • Strong Excel, Word and general computer skills are required.
  • Strong ability to communicate effectively, both verbally and in writing.
  • Proven ability to manage and coordinate work to meet and/or exceed organizational objectives.
