Project Administrative Assistant
Accentuate Staffing is recruiting for a Construction Project Administrative Assistant for one of our clients that specialize in retail construction in Raleigh, NC. The Project Admin will support 2 project managers with the administration of their projects with each Project Manager typically handling 2-4 projects at a time.
We are seeking an Administrative Assistant who is friendly, organized, detail-oriented, an excellent communicator, a team player, and has strong critical thinking and computer skills. The individual in this role should be able to handle a variety of different tasks and to prioritize their work accordingly. Familiarity with construction terminology and documents is a plus, but not required.
Responsibilities:
- Supporting the assigned Project Managers: Assist with Project Setup: Permits/Licenses/Bonds
- Importing/Setting up budgets in PM software
- Make sure superintendents have all documentation needed
- Preparation, Filing, Sending, and Follow up of Project Documents
- Correspondence (Meeting Minutes, Construction Punch Lists, Letters, etc.)
- AIA Contract Documents and Change Orders to project Owners & Developers
- Preparation and sending of Pay Applications & Invoices
- Subcontracts, Purchase Orders, & Change Orders to subcontractors & vendors
- Subcontractor Certificates of Insurance
- Closeout Documents (Warranties, Operation Manuals, final Lien Waivers, etc)
- Filing and organization of project documents
- Assist with Estimating support when needed
- Setup & Maintain the online plan room
- Assist with other Project Management administrative tasks as needed
- Support the Administrative/Office Staff: Assist with covering the front reception desk/phone
- Assist with file archiving
- Back up to the other Administrative staff during vacations/sick time.
Requirements:
• Associates Degree or 3-5 years experience in Project Administrative role
• Construction experience and knowledge of construction terminology
• Ability to handle multiple projects at one time
• Strong organizational skills, excellent communication skills, & string computer skills
• Must be proficient in Microsoft Office: Word, Excel, Outlook, Teams
• Familiar with Project, PowerPoint, OneNote, Adobe , & CMiC Construction
