Accentuate Staffing is seeking a Sr. Sales Administrative Specialist  to join a successful distribution company in Durham, NC. Our client is looking for candidates that can initiate, coordinate, and execute sales administrative support to Regional Sales Directors and Sales Representatives. This role will be onsite for the first 6 months and possible hybrid after training period is complete, great company culture and room for growth.

Responsibilities:

  • Answers and handles telephone calls in a professional and timely manner; takes accurate messages with a high degree of professionalism and courtesy.
  • Exercises considerable judgement and discretion in handling sales related inquiries, investigations and research.
  • Distributes daily internal/external mail and overnight packages; sends and distributes faxes, sales literature, and sample requests from both inventory and manufacturers.
  • Composes, types, and distributes professional correspondence, usage reports and memoranda, price quotes, sales proposals, E-mails, and faxes using individual initiative and as assigned.
  • Performs general clerical duties including but not limited to photocopying, faxing, and mailing.
  • Effectively and professionally communicates with sales staff, customer service staff, warehouse managers, warehouse staff, delivery drivers, customers, vendor representatives, manufacturer representatives and management.
  • Assists in filling out deviations, stock forecast and designated stock forms.
  • Assist Sales Directors with necessary marketing and support materials from vendor partners such as specification sheets.
  • Investigates and corrects any problem issues with orders for customers such as wrong product and or delivery schedules and conflicts.
  • Managing order portal systems  for customer order retrieval and invoice uploads
  • Assist Sales Reps and CSR’s with basic technology questions regarding computers, printers, programs, applications, processes
  • Assists Sales Directors/Reps with building customer quotes and or proposals.
  • Generates and edits complex spreadsheets, including formulas, formatting and graphs.
  • Creates and maintains up to date customer order guides.
  • Coordinates meetings including but not limited to preparing and distributing agendas and other meeting materials, reserving and preparing facilities, and recording and transcribing meeting minutes.
  • Assists in development and implementation of department systems, procedures and “inside” marketing as directed.
  • Demonstrates a high level of professionalism in dealing with confidential and sensitive issues.
  • Assists with special projects as assigned.
  • Performs other duties as assigned by sales representatives and/or supervisor.
  • Assist with web inquiries and issues.
  • ttend Level 10/EOS meetings and record meeting notes when assigned by Sales Manager.

Requirements:

  • Associate’s degree (A.A.) or equivalent, one to three years related experience, or equivalent combination of education and experience.
  • 3-5 years min experience working in a Sales Administration/Specialist role for a distribution or manufacturing facility
  • Experience in preparing written product quotes and proposals
  • Excellent verbal and written communication skills.
  • Must be proficient  with MS Excel – report generation including graphs & formulas
  • Commitment to excellence and high standards.
  • Strong organizational, problem-solving, and analytical skills; able to manage priorities and workflow.
  • Ability to deal effectively with a diversity of individuals at all organizational levels.
  • Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm.
  • Acute attention to detail.
